Where a customer has entered into a separate agreement with Willow Vale governing a specific product (a “Customer Agreement”), the data-processing terms of that Customer Agreement govern our handling of that customer's business data and content, and this Policy applies to our handling of personal information more broadly, including in connection with the Website.

- Contact and business information you submit through the Website, such as your name, email address, organization, and the contents of your message, including when you contact us at contact@willow-vale.com.
- Account and authentication information, such as name, business email address, and credentials, if Willow Vale provides accounts or workspaces in connection with the Services.
- Customer Content that you or your organization submit to our AI and document-processing Services for extraction, summarization, or workflow automation. Customer Content may include documents and files that contain personal information about third parties, which is processed on behalf of, and at the direction of, the customer that submitted it.
Information Collected Automatically
- Technical and usage information necessary to operate, secure, and improve the Website and Services, such as IP addresses, browser and device information, request timestamps, and diagnostic or security logs, collected by us or by our hosting and infrastructure providers.
- If Willow Vale introduces analytics, cookies, or similar technologies on the Website in the future, this Privacy Policy will be updated to describe those practices before they are put into effect.
2. How We Use Information
We use information we collect to:
- Respond to business inquiries and communications.
- Provide, operate, maintain, and secure the Website and Services.
- Process Customer Content solely to deliver the document-processing, extraction, summarization, and workflow-automation functionality requested by the customer that submitted it.
- Investigate and address technical or security issues, and detect, prevent, and respond to fraud, abuse, or violations of our Terms of Use.
- Comply with applicable legal and regulatory obligations.
Willow Vale does not use Customer Content to train generally-available third-party or foundation AI models, and does not sell personal information.
3. AI Processing of Documents and Content
Our Services use artificial intelligence and machine learning technology to extract information from, summarize, and automate workflows involving documents that customers submit. Customer Content processed through our AI features is used only to provide the requested functionality to the customer, and is handled in accordance with the applicable Customer Agreement and the security practices described in Section 6 below.
Customers are responsible for ensuring they have the necessary rights and legal basis to submit documents containing third-party personal information to our Services.
4. Cookies and Analytics
Willow Vale does not currently use advertising cookies or third-party behavioral tracking technologies on the Website.
If cookies, analytics, or similar technologies are introduced in the future, this Privacy Policy will be updated to describe those practices, and, where required by applicable law, we will obtain your consent before doing so.
5. How We Share Information
Willow Vale does not sell personal information. We may share information as follows:
- With service providers and subprocessors that support the hosting, security, storage, or operation of the Website and Services, under contractual obligations to protect the information consistent with this Policy.

Retention of Customer Content processed through our Services is governed by the applicable Customer Agreement, absent which we retain such content only as long as necessary to provide the requested functionality and for a reasonable period thereafter for backup, security, and support purposes.

Willow Vale is based in the United States, and information we collect may be processed and stored in the United States or other countries where we or our service providers operate.
Where required by applicable law, we take reasonable steps to ensure that any international transfer of personal information is subject to appropriate safeguards.

The Website and Services are directed to businesses and professionals and are not intended for use by children. Willow Vale does not knowingly collect personal information from children.
